Exhibition booths are temporary structures that only exist for a few days. Therefore, they need to be designed in a way that allows them to be constructed very quickly, often within just one day.
To achieve this, especially for complex booths, we require detailed and specific information, as well as final decisions from our clients, right at the beginning of the design process. This helps us not only create booths that meet their visual expectations but also ensure they are safe.
The cost of the stand is effect by the following:
- the surface area of the stand
- the location of the event – What country? In which city?
- the number of stands we provide for the event
- the level of complexity of the project and construction
- type of finishing
- type of flooring
- type of equipment and accessories
- type and quantity of lighting
- type and area of graphics
- additional services within the stand
Already at the stage of requesting a quote, the following information will be very useful for us:
- When is the event taking place?
- What is the size of the stand?
- Where will the stand be built?
- What budget will we have for the project?
- How much time has the organizer allocated for the assembly of stands during the event?
- What is the allowable height of the construction in the exhibition hall where the stand will be built?
- Graphic files that will need to appear on the stand, such as logos, product photos.
- A map containing information about the location of the stand at the trade fair.
The more information we receive at this stage, the faster we can prepare a project that meets the expectations of our Clients.
The sooner we receive detailed information, the more time we will have to refine the design, approve it and produce all stand elements in standard timeline.The minimum time required to approve the design and complete the project is 21 days before the event’s start date. Of course, it depends on how complex the project is.
To ensure high-quality stand finishes, we need to receive the graphic files to be used in the stand design before starting work. These files must meet the following requirements:
- The files must be in very high resolution. The minimum resolution for good print quality is 300 dpi, but the final resolution always depends on the target size of the graphics to be displayed on the booth.
- All graphic files should be sent in CMYK format.
- For logos, please send the brand book or files in .pdf, .svg, or .ai formats.
All universal elements of the stand, unless they were previously owned by the Exhibitor, become the property of the contractor after the trade fair event ends.
Of course, we try to be as flexible as possible, so everything depends on the agreement made before the project begins.
It’s important to note that purchasing stand elements will be significantly more expensive for the Exhibitor than renting them for the duration of the event.
If the Client wishes and informs us in advance, we can provide them with any custom elements related to their brand identity, such as graphics or 3D logos, after the event concludes.
Exhibition stands, especially those with custom designs, are spatial forms that require specialized knowledge, experience ,and qualifications for assembly and disassembly.
The cost of creating a booth includes not only the booth’s equipment, logistics, and production of these elements but also the assembly and disassembly services.
Most of the structural elements used in the stands are rented for the duration of the event, allowing our clients to achieve lower costs compared to purchasing these components.
If a client wishes to use the same booth design for multiple events, they must inform us well in advance. This ensures we can retain and store their unique booth elements for future use.
However, it is important to note that this is not always possible. To reuse a booth design at different events, the layout, size, and height of the booth must be identical and approved for all exhibition halls where the client plans to exhibit.
